Student Privacy Rights

Educational records information about UB students is protected from unauthorized access by a federal regulation, the Family Educational Rights and Privacy Act (FERPA). All UB staff and faculty who handle student information are required to understand and abide by the specific tenets of the regulations.

Confidentiality Guidelines for Faculty and Adminstrators:
  • Students now have access to their final grades on MyUB as soon as grades are submitted on Web Grading. There should be no reason to post final grades.
  • Do not leave student exams or papers or lab reports in a public location unattended (outside your office in a box, on a counter in the lab) where students may view one another's work and grades. If you must post grades other than final grades, kindly create a list in random order.  Do not post grades by student name.  Do not post grades in alphabetical order with the ID number visible.
  • Do not release directory information (ie. student names, addresses, telephone numbers, e-mail addresses, major fields of study, dates of attendance or degrees and awards received) for any student who has the "Student Info Release" flag on the student system set to "No".
  • A special note to faculty: It is important to not release directory information for students who have not authorized release, even to fellow classmates, via paper or course web access.
  • Do not discuss or share student information, including grades or GPA, with parents or others outside UB. Please refer callers to the Student Response Center, 645-2450.
  • If you maintain personal notes regarding a student and do not wish the student to have access to those notes, you must keep them separate from the student's departmental file and have them available only to you personally; these are called "desk drawer" records. If you have filed personal notes in the departmental file, you may not remove them if a student has asked to examine the file.
  • If a student requests access to departmental files kept under his/her name, contact the Student Response Center, 645-2450, or Ombudsman Services, 645-6154, for procedures before taking any action.
  • If you are asked to release information and have doubts about your obligations to do so, call the Student Response Center, 645-2450, or Ombudsman Services, 645-6154 first.
